Global Planning Analyst Co-Ordinator

Hepburn Bio Care is the leading supplier to the marine industry of environmental, super concentrated phosphate-free, non-toxic products for interior and technical cleaning, grey/black water line maintenance, and treatment of contaminated bilge and organic wastewater.

The main purpose of this role is to liaise with our clients globally to ensure that all clients’ visits are accurately documented administered and maintained. You will be a customer-focused analytical individual as you will be heavily involved in planning and in constant contact with On-board personnel and shore personnel operating globally and in constant liaison with our Logistics, Global Planning & Account Managers. It is essential that you are adaptable to changing priorities and can work to tight deadlines as well as being able to demonstrate organizational, analytical & planning skills and sound geographical knowledge.

Role and Responsibilities:

  • Prepare ISO Master Documents in preparation for global planning.
  • Liaise with Account Managers to collate individual Client requirements and work closely with Global Planning Mc to finalise and update all travel schedules and Master.
  • Liaise directly with all Clients to ensure updated information and ISPS requirements are followed for all visits scheduled.
  • Monitor and regularly update Master documents.
  • Monitor, collate and prepare travel arrangements (flights, hotels, visas as directed – often in liaison with Clients’ arrangements as well as directly sourced arrangements. Closely monitoring costs.
  • Maintain relevant database of contacts and Clients, regularly updating as changes occur.
  • Provide and assist in Analysis collating of varied data as requested.
  • Assist the Global Planning/Support Manager as directed.
  • Ad-hoc projects, reporting and analysis as required.
  • Coordinate product implementation on new vessels (and newly built ones), creating spreadsheets to monitor progress.
  • Liaise with Account Managers and Logistics to ensure that the correct product and accessories and needed quantities are available depending on targeted vessels’ ports of call to ensure a smooth implementation.
  • Any other support duties as and when required supporting UK, Monaco and Miami office personnel and vessels.
  • Maintain awareness of and comply with the Company Quality Policy and applicable Company Procedures.
