Hepburn Bio Care is the leading supplier for the marine and hospitality industries of fully biodegradable, super-concentrated, phosphate free, non-toxic products for grey/black water lines maintenance, general cleaning and waste water effluents biological treatment.
We are looking for a Technical Administrative Assistant to provide administrative support to our technical team in the UK and around the globe.
Role and Responsibilities:
• Maintain close supervision of daily functions of staff, ensuring productivity, timekeeping and quality of output.
• Monitor HR records of presence/holiday/sick days for UK based personnel – handle all matters directly related to leaving privileges in liaison with Global Planning Team and CEO, keeping Monaco office updated regularly.
• Update technical policies and procedures and ensure they are applicable in the current situation.
• Serve as the line of communication between logistics, technical operations and senior management up to CEO.
• Stock and consumption control of supplies & stores in UK office including accessories, technical equipment, promo items and allocation for ships visits.
• Supply all Administrative support required for HBC Engineers, accounts and Logistics department as necessary, particularly during vacation periods or heavy demand.
• Maintenance of internal Safety & Quality Manual, office supplies, insurance, water.
• Orient, educate and train new employees, acquaint them with their specific responsibilities.
• Update ship visit schedules and book transportation for travelling staff, when applicable.
Desired Qualifications:
• Pleasing personality and able to work in detail and under pressure.
• Have the ability to work independently as well as part of a team.
• Experience with data management – good Microsoft Excel skills are fundamental.
• Possess good computer skills – with a good understanding of Microsoft Office.
