Hepburn Bio Care is the leading supplier to the marine industry of environmental, super concentrated phosphate-free, non-toxic products for interior and technical cleaning, grey/black water line maintenance, and treatment of contaminated bilge and organic wastewater. Attention to detail is essential in all aspects of the daily execution of your responsibilities.
- Maintain close supervision of daily functions of staff, ensuring productivity, timekeeping and quality of output.
- Monitor HR records of presence/holiday/sick days for UK based personnel – handle all matters directly related to leaving privileges in liaison with Global Planning Team and CEO, keeping Monaco office updated regularly.
- HR interviewing, disciplinary, supporting all Southampton staff should the need arise.
- Serve as a line of communication between logistics, technical operations and senior management up to CEO.
- Travel booking for all staff as required.
- Purchasing all items for the office.
- Looking at purchasing prices of items purchased for the company whatever the item whether stationery or accessories and ensure the most competitive price is being obtained.
- All office tasks such as insurance renewals, lease renewals, laminating and printing.
- Support the marketing team when required.
- Other ad hoc administrative tasks as directed by CEO.
- Work with the UK team to champion best practice and quality/process improvement initiatives
- Ensure business processes remain current and are communicated
- Maintain the documented Quality Management System
- Identify and implement process improvements to eliminate non-conformance
- Ensure housekeeping standards are maintained
- Ensure the internal audit programme is maintained
- Provision of company performance and quality metrics
- Involvement as required during third-party certification audits
- Facilitate agreement on and verify the implementation of corrective/preventive actions
- Participate in/conduct Management Review Meetings
- Maintain awareness of and comply with the Company Quality Policy and applicable Company Procedure
